Timeless by Nate (ABN: 518 479 560) ("we," "us," or "our") is committed to protecting the privacy of your personal information. This policy explains how we collect, use and disclose your information in accordance with the Australian Privacy Principles (APPs), Australian Artificial Intelligence Principles and the Privacy Act 1988 (Cth).

2. Information We Collect
We collect information necessary to provide wedding photography services, including:
Contact Details: Name, email, phone number and address.
Event Details: Wedding date, venues and guest details.
Visual Data: Photographs and video footage taken during your event.
Meeting Data: Audio recordings and transcripts of client consultations (via AI tools).

3. Use of Artificial Intelligence (AI) & Image Processing
To provide a high-quality service and maximise the artistic value of your images, we utilise Machine Learning (ML) and Artificial Intelligence (AI) technologies. By engaging our services, you acknowledge and consent to the following processing activities:
3.1 AI-Assisted Culling (AfterShoot): We use machine learning software (AfterShoot) to assist in the initial "culling" process (selecting the best images). This software analyses your images to identify sharpness, focus and facial expressions (eg closed eyes). We use this automation to speed up the selection workflow, allowing us to redirect time saved towards more detailed creative editing, thereby increasing the overall quality of your final gallery.
3.2 Editing & Retouching: We use industry-standard software (Adobe Lightroom and Photoshop) which may utilise AI features for subject selection, masking and noise reduction.
3.3 Generative AI: On occasion, we may use Generative AI tools (such as Adobe Photoshop Generative Fill) to remove distractions (eg signs, bins) or extend backgrounds to improve composition.GenAI may be used in the creation of music where reasonably required.
3.4 Meeting Summaries: We may use AI note-taking assistants during video calls to record audio and generate meeting summaries. You will always be notified before recording commences.
AI will NOT be used to change the day and make it something that it was not. If this is a service you are seeking, we may not be a good fit. 
The use of these services is conducted ethically and legally as per Australian AI laws and guidelines, Extraterritorial scope (ie: EU AI Act and GDPR) and other moral considerations.

4. Disclosure to Third Parties and Overseas Transfer
We do not sell your data. However, to provide our services, we share data with trusted third-party providers, some of whom may store data on servers outside of Australia (including the USA, Canada and Europe). These include:
Gallery & Print Fulfillment (PicTime): Your images are hosted on PicTime servers to facilitate gallery viewing and print ordering.
Printing Labs: Print orders placed through your gallery are fulfilled by professional print labs partnered with PicTime (global or local depending on the order). Your delivery details and image files will be shared with these labs solely for the purpose of fulfilling your order.
AI Processing Partners: AfterShoot and Adobe (for image processing).
Calendly: Calendly may use cookies if you use its scheduling tool embedded on the website.

5. Social Media and Privacy of Minors
We respect the privacy of your guests and exercise a high degree of discretion regarding the publication of images.
5.1 Minors: We adhere to a strict safety policy regarding children. We do not publish identifiable images of minors (under the age of 18) on social media, our website or advertising materials without express verbal or written permission from the parent or guardian.
5.2 Guest Privacy: While we retain the copyright to images we create, we are sensitive to the privacy of your guests. If a guest or couple requests that a specific image be removed from our public portfolio or social media channels, we will comply with this request immediately.

6. Storage and Security
We take reasonable steps to protect your personal information from misuse, interference and loss. Your images are stored on encrypted local drives and secure cloud backup systems. While we use reputable third-party tools, we ensure they have robust privacy policies regarding data retention.

7. Your Rights
You have the right to access the personal information we hold about you and request corrections. If you wish to opt out of AI-based meeting recording, please inform us at the start of our consultation.
